Epic Cycles C2W Scheme

The Epic Cycles Cycle to Work (C2W) scheme is very straightforward to operate (see here for overview of process) and can be tuned to the needs and preferences of individual companies.

The most commonly used approach, especially where volumes or number of employees are relatively low, is for employees to select bikes as and when it is convenient for them to do so, and for payment to be made bike by bike on single invoices.

Where employee numbers are greater, we can also open up the scheme for a limited period, during which employees select their bikes - the resulting quotes can then be approved in a block or short period of time, followed by a single invoice for all approved quotes/purchases. As soon as payments have cleared the bikes are available for collection or shipping (free of charge) to employees.

We prepare all of the paperwork for you, which really is very simple for employers to then administer – this involves less paperwork on your part than most 3rd party operated schemes, but employees and employer get more for their money!

What Additional Benefits does the Epic Cycles C2W scheme offer?

Free Safety Pack worth over £100! Free with all bikes up to £1000* purchased though our own cycle to work scheme, is a pack designed to protect both bike and rider.  This includes a high quality lock, helmet and light set – all from market leading brands, and worth in excess of £100. *excludes ex-display, special purchase or custom built, which are a very small part of our range, but which have very small margins.  In this case we will be able to offer the same Safety Pack for £50, a saving of over 50%, and which can also be purchased under the scheme with the resulting additional tax benefits, providing you are still within scheme limits.

No Fees!

We charge employers no fee to operate the scheme and have no minimum commitment requirements. In addition, there are no administration fees payable by employees for any bike, regardless of type or value, that is purchased though our own scheme! For third party schemes there are also no employee fees on the vast majority of bikes up to £1000, but where bikes are either ex-display, special purchase or custom built we will need to pass on the 10% admin fee charged to us by most (but not all) voucher based schemes.

• Free shipping: All bikes can be shipped free of charge to what Parcel Force refer to as “Mainland UK” – essentially all points to the south of a line from Glasgow to Aberdeen. We can also ship to other areas within the UK at competitive rates.

What is the process for the Epic CyCles C2W scheme?

The process involved for both employers and employees in operating Epic Cycles’ Cycle to Work scheme is very simple, and involves less admin than many voucher based schemes:

Employer:

• Contact Epic Cycles for any further information and sample forms (if needed)
• Advise Epic Cycles of company contact for cycle to work bikes
• Decide on whether the C2W offer to employees will be case by case on-going or for a limited time period (typically a month)
• Note – above steps can be carried out after employee contacts/visits Epic Cycles as part of quote approval process.
• Employee provides employer with written or emailed quote for approval
• Invoice raised by Epic Cycles (either bike by bike, or one invoice covering a fixed scheme time period)
• Once invoice payment has cleared, the bike will be available for collection or shipping to the employee
• Epic Cycles provide necessary salary sacrifice and hire agreement paperwork

Employee:

• Employee selects bike and obtains written/emailed quote from Epic Cycles
• Employer approves quote
• Invoice raised by Epic Cycles (either bike by bike, or one invoice covering the limited time period)
• Once invoice payment has cleared, the bike will be available for collection or shipping to the employee
• Epic Cycles provide necessary salary sacrifice and hire agreement paperwork
